Administrative Assistant – Corporate Office

Performs administrative and office support activities. Duties include fielding telephone calls, receiving and directing visitors and managing day to day duties.

Responsibilities/Essential Job Duties


Manage and maintain all conference room schedules for meetings.


Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software. Prepare responses to correspondence containing routine inquiries.


Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.


Open, sort, and distribute incoming correspondence, including faxes and email.


File and retrieve corporate documents, records, and reports.


Greet visitors and determine whether they should be given access to specific individuals.


Answers, screens and directs telephone calls; relays messages.


Order and maintain supplies and arranges for equipment maintenance and orders forms. Order and maintain beverage and food supplies.


Conduct research as needed for projects.

Run Errands

Run errands as needed.


  • Ability to communicate in a professional manner via written and verbal form.
  • Ability to use and understand Microsoft Outlook, Word, and Excel.
  • Knowledge of basic office machine systems such as copy machines, fax machines, scanners.
  • Basic math skills.
  • Knowledge of Yardi preferred.

Education and/or Experience

  • Prior administrative assistant or reception experience for a large office.
  • College Degree preferred.
